  • Dashboard - Tracking Performance
    Depending on your admin settings, you may or may not have access to this page. The Dashboard is your one-stop labor cost tracking console where you can view all critical data and trends of your sales, labor costs, and variances split across time, companies, and departments. You can print this dashboard using the Print button or extract a summary via the Export button for further analysis.
  • Sales - Creating an Event
    Navigate to the Sales module. Click on the + sign to add a new event. Enter the following details: Event Name Date: Select the event date from the calendar. Location: Choose the event location. Sublocation: Choose the specific sublocation within the venue. Number of Guests: Enter the expected guest count. $/Guest: Input the cost per guest for budget allocation. Notes (Optional): Add any notes for the operations team. Review the details and click Save to create the event.
  • Plan - The journey begins
    There are two ways to create a new event: The Sales team can create an event once a sale has been closed. The Operations team can create an event directly from planning. In both cases, you will see: A grey-colored event in the calendar. A grey text event in the planning table. Click on the event from the calendar or planning table to plan. Click Edit and modify the necessary details: Event Name Date Location Sublocation Number of Guests $/Guest Notes (Optional) Attach Files (Optional): Documents relevant to your event (e.g., BEO, planning schematics, paper sign-in sheets, captain's reports). Click Save. Based on your company settings, you will be provided with a budget estimate for staffing. Click on Source.
  • Source - Adjusting Staffing Requirements
    The Source screen allows you to adjust: Time: Adjust the start and end time for internal staff. Dress Code: Modify the dress code if needed. Staff Type: The system minimizes costs by prioritizing internal staff and allocating the rest to external sources. Adjust as necessary. Click Save. Click on Assign.
  • Assign - Selecting and Inviting Staff
    Adjust the following details: Select people from your internal staff list. Adjust the start and end times for individuals if required. Add any specific notes for the staff. Click Save (this only saves the schedule; job invitations have not been sent yet). Click Send Schedule when ready. A dropdown will appear to send the schedule to internal, external, or all staff. Events created through the workforce tool will also appear on the mobile app. You can track staff fulfillment via: App: New & Upcoming section in the Jobs tab.   • Edit - Adapting to change
    If plans change, go to Plan and update staffing. To reduce staff: Click the - sign on the person to remove internal staff. Reduce the number of external staff in their row. To increase staff: Click the + sign and select the person for internal staff. Increase the number of external staff in their row. Resend the schedule. Only impacted people will receive updates.
  • Execute - Event Day Operations
    Workers can clock in using multiple methods: Designated tablet (requires worker ID). Mobile app (geo-fenced location). Supervisor clock-in via the app. Notes: Supervisors can monitor real-time clock-ins. Clock-in time is recorded as the later of job start time or actual clock-in. Workers may be automatically clocked out based on admin settings. Overtime/undertime recording options: If allowed, workers can edit their timesheets within 12 hours. Supervisors can edit timesheets before approval. Contact the care team for any timesheet issues after approval.
  • Approve - Timesheet Finalization
    Workers have 12 hours post-job to review and edit their timesheets (if permitted). Supervisors must review and approve timesheets within 7 days; otherwise, approval is automatic. Approved timesheets will be available for HR payroll processing. Invoices will be accessible in the Planning tab for finance teams.
  • Staff Utilization
    Depending on admin settings, access may be restricted. Provides an overview of total hours worked and scheduled. Filters allow sorting by department, skill, name, or employee ID. Extend date range to view data beyond one week.
  • Workforce
    Depending on admin settings, access may be restricted. Workforce is the central HR hub with staff details such as: Bio: Profile picture, short bio, and bio video. Personal: Gender, address. Professional: Worker type, hire date, worker ID. Financial: SIN number, bank details, payroll ID. Skills: Certifications, expertise level, hourly wages. Languages: Proficiency levels. Documents: CVs, IDs, work permits, licenses, police clearance (if required). Performance & Engagement: Summary of shifts, attendance, and gross earnings. Work History: Detailed shift history, earnings, and locations. Only HR has the authority to edit staff information.
  • Settings
    Typically, only company admins have access. Key sections: Display Name: Adjust tool terminology based on industry. Company: Define hierarchy and sub-locations. $/Variable: Set labor cost benchmarks (e.g., cost per guest). Clock-in & Out: Choose if staff can clock in via mobile. Clock-Out: Auto clock-out staff at the scheduled end time. Worker Edit In/Out: Allow staff to edit clock-in/out within 12 hours. Department: Add company departments and assign heads. % Spend: Allocate labor costs by department. Schedulable: Set which departments have schedulable staff. Access Level: Control department head permissions. Skills: Map industry skills to departments. Variable/Skill: Set benchmarks for staffing needs. Planned Costs: Estimate internal and external staffing costs.
